Overview & When to Use
This report provides a roster for staff to document start and end time of participation as well as signatures of students or parents/guardians that pick students up. It is designed for front-line program staff who need to verify attendance and maintain a signature-based record of student participation.
- Use this report for recording attendance for activity sessions. It can be used to manually write on or can be used as a list to scan barcodes from.
- Use this report when a site requires a paper-based or printable signature log for compliance or audit purposes.
- Use this report when verifying which students are enrolled in a specific session on a specific date.
How to Read the Report
- The report is organized into separate sections per session, each labeled with the site name, activity/program name, session name, time range, and date. Review the section header first to confirm you are working with the correct session.
- Within each session section, students are listed in alphabetical order by last name, each assigned a row number for easy reference.
- Each student row contains a barcode (for optional scanning), followed by blank fields for Time In, In Signature, Time Out, Out Signature, and Notes — these can be filled in manually at the time of arrival and departure.
- A Signature line appears at the top of each session block, intended to indicate which staff member recorded attendance data on the roster.

Statuses, Colors, and Alerts
- No color coding, flags, or alert indicators are visible in this report.
Notes, Limitations, and Related Reports
- This report is designed for manual or scan-based data entry at the point of service; it is not a summary or aggregate attendance report.
- For a list of participants enrolled in one or more sessions when not using bar code scanning, export the report to Excel and simply remove the bar code column.
- The roster reflects enrollment as of the report run date — students added or removed after printing will not appear unless the roster is reprinted.
- The report is organized by session, so sites running multiple sessions on the same day will see a separate roster block for each session. Each new session will start a new page.
Report Filters
The following filters are available to control which sessions and dates appear on the roster:
- ActivityName (In List): Filters the roster to show only sessions belonging to a specific activity (e.g., “Cooking Club” or “Literacy Education”). Leave blank to include all activities. Use this when a staff member is responsible for only one program area.
- SessionName (In List): Narrows the roster to a specific named session within an activity (e.g., “Healthy Cooking Club” or “3rd Grade”). Leave blank to include all sessions. Use this when a site runs multiple sessions under the same activity and only one roster is needed.
- Date (Equal to): By default, the report generates rosters for the sessions scheduled for today (the date the report is being run). This filter only allows one date to be selected at a time. For example, change the date to tomorrow if you are printing rosters in advance for tomorrow’s program; only rosters for sessions being offered tomorrow will be produced.
To apply filters (not available for all reports), use the filter icon available at the top right of the report header. The filter options shown in this report are the same for all users.
To filter by additional fields that are not available on-screen, export the table to Excel, turn on filters for the header row (Data > Filter), and use Excel’s filter dropdowns. For a quick tutorial, see Microsoft’s “Filter data in a range or table” video on https://support.microsoft.com/.
