How to Send Messages

This document explains how to message participants' Relationship contacts.

Recipients must be Primary Contacts and/or Parents/Guardians with an SMS/mobile number or email in their Relationship record.

Messages can be sent via text or email. To enable texting, contact your Account Manager (fees apply).

Go to the Tools tab in the left navigation menu.

Select Send Messages

Past messages are listed with their date, status (e.g., success), and sender. Some may be unsent drafts. Click the eye icon to edit or the trash can icon to delete a draft.

To create a new message, click Compose.

There are three steps to create and send a message:

Select Message Recipients

The recipient list shows people linked to a participant as Primary Contact and/or Parent/Guardian with an SMS/Mobile Number or email in the system. Use the Search box or the ⇵ icon to filter or sort the list.

After selecting recipients, click Next Step.

Compose Message

Enter a Title for the message. This is for internal use only to identify the message and will not be sent to the message recipient. 

Check the Send email box if you want to send this as an email.

Enter the Subject and Message Body of the message. 

Insert Data Fields in the message to personalize the message for each recipient.  

For example, a message like this... 

Dear John Smith, 

We wanted to inform you that registration for the summer program for Lilly is now open. Access the registration form link here: ______________

...would be entered like this with the Data Field tags.

Dear {{RecipientFirstName}} {{ParticipantLastName}},

We wanted to inform you that registration for the summer program for {{ParticipantFirstName}} is now open. Access the registration form link here: {{RegistrationAccessLink}}

If you want to include a personalized link to facilitate online registration, be sure to include the Registration Access Link from the Data Fields. 

If texting is enabled and you want to send this message as a text, click the Send SMS text box.

To save a draft of the message and send it later, click the Save Draft button. You will be returned to the Send Messages page.

When complete, click Next Step.

Review Message Summary and Send 

If you included the Registration Access Link as a Data Field in the Message Body, select the appropriate Registration Form to which the link will provide access. 

Click Send to send the message to the selected recipients.

You will be returned to the Send Messages page and the message status will be updated.
